Manage your leads

Every time someone fills out the "I'm interested" form on one of your trip pages, they become a lead in your Travifo dashboard. Leads are potential travelers who have expressed interest in a specific trip edition — your job is to follow up and convert them into confirmed participants.

What is a lead?

A lead is someone who:

  • Visited your trip page (through your profile, a direct link, or an embedded widget).
  • Selected a specific edition (dates).
  • Filled out the interest form with their name, email, and optionally a phone number and message.

When a new lead comes in, you'll receive an instant email notification so you never miss an opportunity.

Viewing your leads

Go to Dashboard → Leads to see all your leads in one place. The table shows:

  • Name and contact info (email, phone if provided)
  • Trip and edition they're interested in
  • Date they submitted the form
  • Current status

Filtering

You can narrow down the list using:

  • Trip filter — show leads for a specific trip.
  • Edition filter — focus on a particular edition.
  • Status filter — see only new, contacted, confirmed, or discarded leads.
  • Search — find a lead by name, email, or phone.
  • Date range — today, last 7 days, last 30 days, or all time.

Lead statuses

Each lead has one of four statuses:

StatusMeaning
NewJust submitted, not yet contacted
ContactedYou've reached out to them
ConfirmedThey've committed to the trip
DiscardedNot going ahead (changed their mind, didn't respond, etc.)

Click on any lead to open the detail sheet and update their status.

Converting leads to participants (PRO)

Once a lead confirms they want to join the trip, you can convert them into a participant. Click on the lead to open their details, then use the "Convert to participant" button.

This moves them to the participant management system where you can track documents, send them their personal portal, and manage their trip details.

Exporting leads

Use the Export button at the top of the leads page to download a CSV file with all your leads (or a filtered subset). This is useful for email campaigns or sharing data with your team.

Tips

  • Respond quickly. The faster you reach out after someone expresses interest, the more likely they are to convert.
  • Use the message field. If a lead left a message, reference it in your follow-up — it shows you read their note.
  • Keep statuses updated. This helps you track your conversion rate accurately in the Analytics section.
